Procedures for Announcements


This document details the process and timeline for submitting church announcements.

 

  1. Step One:  Submitting your Announcement
    • Submit your announcement via email to The Church Administrator only
      • Include:  Wording for voice announcement (date, time, place, etc.) pictures, flyers (saved as JPEG or PNG files) or PowerPoint slide (send via email)

 

  1. Step Two:  Approval Process
    • The Church Administrator will submit to Pastor Williams for approval
      • Pastor Williams will approve and decide if the announcement will be voiced, shown pre-service on Sunday and/or on the website (FYI not all announcements are voiced)

 

  1. Step Three:  Once approved
    • Once Pastor Williams approves the announcements
      • The Church Administrator will confirm via email with the Ministry Leader or the event planner whether the announcement will be a voice announcement, or if it will be displayed on the website and pre-service
      • Mary, James and Stacy will be sent specific instructions via email every Monday by COB from the Church Administrator as to what announcements are approved to be voiced and what is approved for the website and pre-service display

 

Example:  September Event:  June submit your announcement for approval. Once approved, the Church Administrator will send out the email. "Save the Date" announcements should begin during the last two weeks of July. In August, we'll start the main event announcement leading up to the actual event in September.

 

When preparing for announcements and events, the Media Team strictly adheres to the church's 2025 calendar. Could you please inform Rev. Baskin as soon as possible if any changes occur to an event already scheduled on the calendar? This will ensure that all communications can be managed effectively and in a timely manner.

 

We kindly request your adherence to the established procedures for submitting announcements. Once the monthly announcements have been voiced, we are unable to accommodate any changes. This policy ensures fairness to those who meet the submission deadlines and prevents placing an additional burden on Pastor Williams to recall late submissions on Sunday mornings.  Please see the schedule below for the remaining announcements in 2025…

 

August 2025 –

August 8th The Church Administrator will send via email to Mary, James and Stacy

August 11th Remaining Month of August will be recorded

September 2025 -

August 29th at 9am The Church Administrator will send via email to Mary, James and Stacy

September 2nd Monthly Recording

October 2025 -

September 26th at 9am The Church Administrator will send via email to Mary, James and Stacy

September 30th Monthly Recording

November 2025 –

October 24th at 9am The Church Administrator will send via email to Mary, James and Stacy

October 28th Monthly Recording

December 2025 –

November 25th at 9am The Church Administrator will send via email to Mary, James and Stacy
